Scan a Fixed QR Code to Clock In

Home > Management Mode > Clock-In Records and Management > Clock-In Point Settings > Select Clock-In Point > Scan a Fixed QR Code to Clock In

From the “Home” page in “Management Mode,” managers can select “Clock-In Records and Management,” then “Clock-In Point Settings,” to open the clock-in point settings page.

A QR Code is a two-dimensional barcode made up of black and white squares. It can store text, numbers, links, and other data. With fixed QR Code clock-in, users (employees) simply scan the code placed at the clock-in location with a phone. This method supports many users and can reduce waiting in line.

This clock-in method is easy to set up and relatively inexpensive because managers only need to print the code and make it available for users (employees) to scan. A fixed code can be photographed or forwarded, so update it regularly and consider using “Require a Photo” and “Require GPS Location for Clock-In.” GPS coordinates are only a reference for location verification and cannot completely prevent spoofing or positioning errors.

Each clock-in point currently has one QR Code.

Features

  • Simple Operation: Users (employees) only need to scan a fixed QR Code to clock in, without remembering a password or using a special device.
  • Real-Time Data: Clock-in data is synchronized to Management Mode in real time, making it easier for managers to review and manage.

How to Use

  1. Set Up the Fixed QR Code: Print the clock-in QR Code and place it at the clock-in location for users (employees) to scan.
  2. Clock In: The user (employee) opens SwipePoint on a phone and scans the QR Code. The system records the clock-in time. If GPS location recording is enabled, the user (employee) must also submit GPS coordinates.
  3. Synchronize Data: Clock-in data is synchronized to Management Mode for managers to review and analyze.

Benefits

  • Fast and Convenient: The process is simple, supports many users, and can reduce waiting in line.
  • Lower Costs: No additional clock-in hardware is required—only a phone and a printed QR Code.
  • Centralized Management: Clock-in data is synchronized to Management Mode for managers to search and analyze.
  • Some Error Tolerance: A QR Code may still be readable when it is slightly damaged; actual results depend on print quality and the extent of the damage.
  • Fast Scanning: A phone camera can scan a QR Code quickly.

Suitable Scenarios

  • Office Entrances: Suitable for attendance tracking at a fixed workplace.
  • Meeting Rooms: Suitable when users need to clock in at a meeting room.
  • Branches: Suitable for branches, business locations, and other situations that require clock-in at multiple locations.

Notes

  • Internet Connection: Make sure the internet connection is stable when clocking in to prevent connection problems from interrupting the process.
  • Camera Permission: Make sure the user’s (employee’s) phone camera works and SwipePoint has permission to use it.
  • QR Code Clarity: Print the code clearly and place it in a well-lit location. Avoid glare, obstruction, or damage that could interfere with scanning.

Require a Photo

Home > Management Mode > Clock-In Records and Management > Clock-In Point Settings > Select Clock-In Point > Scan a Fixed QR Code to Clock In > Require a Photo

From the “Home” page in “Management Mode,” managers can select “Clock-In Records and Management,” then “Clock-In Point Settings,” to open the clock-in point settings page. When this feature is disabled, users (employees) can choose whether to take and upload a photo. When it is enabled, users (employees) must follow the instructions to take a photo while clocking in, such as a clock or door number, as supporting evidence of the location and time.

Before using this feature, the organization creator must subscribe to the Premium “Storage” plan to enable cloud storage for photo clock-in.

Require GPS Location for Clock-In

Home > Management Mode > Clock-In Records and Management > Clock-In Point Settings > Select Clock-In Point > Scan a Fixed QR Code to Clock In > Require GPS Location for Clock-In

From the “Home” page in “Management Mode,” managers can select “Clock-In Records and Management,” then “Clock-In Point Settings,” to open the clock-in point settings page. “Require GPS Location for Clock-In” is disabled by default, so users (employees) can choose whether to submit their GPS location when clocking in. Enable this option if every user (employee) must submit the GPS coordinates of their clock-in location.

Important:

  1. GPS locations can be spoofed: Requiring GPS location records cannot completely prevent technical methods of location spoofing.
  2. Signal problems may occur: Some users (employees) may be unable to submit GPS coordinates while clocking in because of device limitations, environmental interference, or similar factors.
  3. Use required photos as well: To reduce errors or fraud, consider also enabling “Require a Photo” to improve the reliability and completeness of attendance records.

Clock-In QR Code

Home > Management Mode > Clock-In Records and Management > Clock-In Point Settings > Select Clock-In Point > Scan a Fixed QR Code to Clock In > Clock-In QR Code

From the “Home” page in “Management Mode,” managers can select “Clock-In Records and Management,” then “Clock-In Point Settings,” to open the clock-in point settings page. After opening the QR Code screen, use the controls in the upper-right corner to copy, save, print, or share the code.

Update the QR Code regularly. Using the same code for too long can increase the risk of fraudulent clock-ins.

Frequently Asked Questions

Q1: How do I set up fixed QR Code clock-in?

A: In “Management Mode,” select “Clock-In Records and Management,” then “Clock-In Point Settings.” Open the settings for a specific clock-in point and set up a fixed QR Code for employees to scan. The code is usually printed and placed at the clock-in location.

Q2: What are the benefits of fixed QR Code clock-in?

A: It is simple to use: employees only need to scan the code to clock in. It supports many users and can reduce waiting in line. No additional clock-in hardware is required—only a phone and a printed QR Code. Clock-in data is synchronized to Management Mode for centralized search and analysis.

Q3: What are the potential drawbacks of fixed QR Code clock-in?

A: A fixed QR Code can be photographed or forwarded, increasing the risk of off-site clock-ins. Even when GPS coordinates are required, location spoofing, positioning errors, or failed coordinate uploads may still occur.

Q4: How can I make fixed QR Code clock-in more secure?

A: Update the QR Code regularly instead of using the same code for a long time. To reduce fraud and errors, also consider enabling “Require a Photo” so employees must provide a photo showing the location and time of clock-in.

Q5: What does “Require a Photo” do, and how do I enable it?

A: When it is enabled, employees scanning the QR Code must take a photo as instructed, such as a clock or door number, as evidence of the location and time. The organization creator must first subscribe to the Premium “Storage” plan to enable cloud storage for clock-in photos.

Q6: How does “Require GPS Location for Clock-In” work, and can it completely prevent location spoofing?

A: When it is enabled, every user must submit GPS coordinates when clocking in. This cannot completely prevent technical methods of location spoofing, and signal problems may prevent some employees from uploading their GPS coordinates. Consider using “Require a Photo” as well.

Q7: Where is fixed QR Code clock-in suitable?

A: It is suitable for office entrances at fixed workplaces, meeting rooms where clock-in is required, and branches or business locations that require clock-in at multiple locations.

Q8: What should I know when using fixed QR Code clock-in?

A: Make sure the internet connection is stable, the phone camera works, and SwipePoint has permission to use it. Print the QR Code clearly and place it in a well-lit location, avoiding glare, obstruction, or damage. Update the code regularly as well.
