Administrators can click Personnel on the Home page in Management Mode to open the personnel management page. In Personnel, they can manage user (employee) information, including personal details, salaries, and approval permissions for leave, overtime, fieldwork, and other applications. They can also assign approval responsibilities through groups and administrators; view performance, contact lists, birthdays, and seniority; upload or download documents; and export data in XLSX format. Document uploads require a Premium storage plan.


Personal Information

Administrators can click Personnel on the Home page in Management Mode, then select Personal Information, and then click any user (employee) to enter the personal information editing page. Administrators can view or edit user (employee) personal information, including login account, name, Nickname, employee ID, gender, birthday, mobile number, Email, address, group, position, hire date, official employment date, extension number, and emergency contact person.

Personal Settings

Administrators can click Personnel on the Home page in Management Mode, then select Personal Settings, and then click any user (employee) to enter the personal settings editing page. Administrators can view or edit user (employee) personal settings, including tags, responsibility-based system, allowed IP address, missed clock-in approver, leave approver, leave according to schedule, overtime approver, work-from-home approver, fieldwork business trip approver, hourly wage, daily wage, and monthly salary.

Birthday

Administrators can click Personnel on the Home page in Management Mode, then select Personal Information, and then click any user (employee) to enter the personal information editing page. If administrators enter a birthday, personnel whose birthdays are coming within 30 days will appear on the Management Mode home page, making it convenient to distribute birthday bonuses or arrange celebration activities.

Responsibility-Based System

Administrators can click Personnel on the Home page in Management Mode, then select Personal Information, and then click any user (employee) to enter the personal information editing page. The responsibility-based system is divided into requiring clock-in and not requiring clock-in.

Reminder

  • If a user (employee) is not required to clock in but needs to submit a multi-day leave request, an administrator must still create a schedule for that person and enable Leave According to Schedule.

Allowed IP Address

Administrators can click Personnel on the Home page in Management Mode, then select Personal Information, and then click any user (employee) to enter the personal information editing page. When using Wi-Fi clock-in, only matching IP addresses can perform clock-in.

Missed Clock-In Approver

When a user (employee) submits a missed clock-in application, the system sends it to the designated approver.

Approver Qualifications:

  1. Creator: Has the highest organization-wide management authority and can review all missed clock-in applications.
  2. Highest Administrator: Has the same missed clock-in approval authority as the creator across the entire organization.
  3. Administrator of the Same Group: Can review only missed clock-in applications from users (employees) in their own group.

This design routes applications to administrators who know the user’s (employee’s) circumstances or have the appropriate authority. The system retains a complete approval history for traceability and data transparency.

Note:

  • Each user (employee) can currently have only one missed clock-in approver.
  • For missed clock-in applications, approvers can review and approve requests but cannot delete or modify application data.
  • An approver can continue reviewing missed clock-in applications after losing administrator permissions. A person marked as resigned cannot remain an approver, so an administrator must assign a new approver to each affected user (employee).

This restriction keeps approval responsibilities clear and prevents unauthorized changes. Deleting or modifying application data requires the appropriate management permissions.

Leave Approver

When users (employees) submit leave applications, the system automatically submits the application to the designated approver for approval.

Administrators can click Personnel on the Home page in Management Mode, then select Personal Information, and then click any user (employee) to enter the personal information editing page. Administrators can set whether the user (employee) must request leave according to scheduled shifts.

  1. Enabled: Users (employees) must request leave within their scheduled shifts. This option is suitable for personnel with assigned schedules.
  2. Disabled: Users (employees) do not need to request leave within scheduled shifts. This option is suitable for personnel without schedules or fixed shifts.

Benefits of enabling leave according to schedule

  • Scheduled users (employees) can submit a multi-day leave request at once.
  • The leave approver only needs to review it once instead of reviewing each day separately.

Overtime Approver

Administrators can click Personnel on the Home page in Management Mode, then select Personal Information, and then click any user (employee) to enter the personal information editing page. When users (employees) submit overtime applications, the system submits the application to the designated approver for approval.

Remaining Missed Clock-In Quota

Home > Management Mode > Personnel > Personal Information > Any Personnel > Remaining Missed Clock-In Quota

Administrators can click Personnel on the Home page in Management Mode, then select Personal Information, and then click any user (employee) to enter the personal information editing page. This section displays the current remaining missed clock-in quota of the user (employee), with a default of 12 times, which can be adjusted as needed.

  • Application and deduction: When users (employees) submit missed clock-in applications, the system automatically deducts one quota.
  • Approval result: If the application is not approved, the deducted quota will be automatically returned to the user (employee) account.

Reminder:

  • Approvers should process missed clock-in applications promptly so requests do not remain pending for extended periods.
  • Verify that quota deductions and refunds are correct so the records comply with company policy.
  • The remaining missed clock-in quota does not reset automatically each month or year. Administrators can adjust an individual user’s quota in Personal Information or go to Management Mode > Organization > My Organization to reset every user’s quota to 12.

Contact List

Home > Management Mode > Personnel > Contact List

Administrators can click Personnel on the Home page in Management Mode, then select Contact List to enter the contact list page. This section displays the contact list of users (employees).

Currently, only administrators can view the contact list. Users (employees) cannot view it.


Birthday

Home > Management Mode > Personnel > Birthday

Administrators can click Personnel on the Home page in Management Mode, then select Birthday to enter the birthday page. This section displays the birthdays of users (employees).

Currently, only administrators can view birthdays. Users (employees) cannot view them.


Seniority

Home > Management Mode > Personnel > Seniority

Administrators can click Personnel on the Home page in Management Mode, then select Seniority to enter the seniority page. This section displays each user’s (employee’s) seniority, calculated from the Hire Date.

A: Currently, only administrators can view users’ (employees’) contact list, birthday, and seniority information. Users (employees) cannot view this information themselves. Seniority is calculated from the Hire Date.
