From the Home page in Management Mode, managers can select "Application Records" and then "Overtime Application Records" to open the overtime application records page. This feature displays users' overtime applications in one place for easy review and management.

Important Notes

  • Date Range Restriction

    • The overtime date cannot be earlier than the user's employment start date. The system automatically blocks applications that do not meet this requirement.
    • This rule helps keep application records valid and prevents invalid overtime entries.
  • Verify Application Details

    • Before submitting an overtime application, users should carefully check the date, overtime hours, and reason to prevent incorrect information from affecting the review result.
  • Notifications and Reminders

    • The system automatically sends a notification to the designated reviewer, prompting them to process the overtime application promptly and keep the workflow moving.

This feature helps managers efficiently track overtime applications while keeping records clear and compliant with company policies.


Overtime Application Process

After a user (employee) submits an overtime application, SwipePoint sends it to the designated overtime reviewer. Once approved, a manager can open the overtime application record and select "Add to Device Calendar" to add it to a chosen calendar on the device.

  2. The designated overtime reviewer reviews the application.
  3. Once approved, a manager can add the record to a device calendar.

Reviewing Overtime Application Records

Home > Management Mode > Notification Icon in the Upper-Right Corner > Any Overtime Application Record

From the Home page in Management Mode, managers can select the notification icon in the upper-right corner and then choose an overtime application record to open its review page.

When a user (employee) submits an overtime application, it can be reviewed by the creator, the highest-level administrator, or the user's designated overtime reviewer.


Add to Device Calendar

Home > Management Mode > Application Records > Overtime Application Records > Overtime Application Details > Add to Device Calendar

Managers can follow the steps below to add an overtime application record to a device calendar. This helps prevent important information from being missed and keeps team members informed about their colleagues' overtime schedules.

Steps

  1. Open the system and go to the Home page in "Management Mode."
  2. Select "Application Records" on the Home page.
  3. Select "Overtime Application Records" from the record menu.
  4. In the overtime application list, select the record you want to add to the device calendar to open its details.
  5. On the record details page, select "Add to Device Calendar."
  6. Choose the target calendar from the menu, then confirm to add the record.

Important Notes

  • This feature only adds a record to the device calendar. To remove it later, you must manually delete it from the calendar on the phone or other device; SwipePoint does not synchronize deletions with the device calendar.
  • If a manager deletes an overtime application record in SwipePoint, the record already added to the device calendar will not be removed automatically and must be deleted separately.

Delete a Record on Android

  1. Open the Google Calendar app on the phone.
  2. Find and select the overtime application record you want to delete.
  3. Select the More icon in the upper-right corner to open additional options.
  4. Select "Delete" to remove the record.

Delete a Record on iOS

  1. Open the Calendar app on the iPhone.
  2. Select the overtime application record you want to delete to open its details.
  3. Scroll to the bottom and select "Delete Event" to remove the record from the calendar.

Sync the Built-In Calendar with Google Calendar

To keep the phone's built-in calendar synchronized with Google Calendar, use the following settings:

Android Devices

  1. Open "Settings" on the phone.
  2. Select "Passwords, passkeys & accounts." The menu name may vary by device manufacturer.
  3. Select your Google Account, then select "Account sync."
  4. Make sure Calendar synchronization is turned on.

iOS Devices

  1. Open the Settings app on the iPhone.
  2. Select "Apps," then select "Calendar."
  3. Select "Calendar Accounts" > "Add Account" > "Google."
  4. Sign in to your Google Account and make sure Calendar synchronization is turned on.

After completing these settings, the phone's built-in calendar can synchronize with Google Calendar so events remain current and consistent.

Managers should regularly compare calendar events with the records in SwipePoint to prevent information differences from affecting team scheduling and management.


Delete Overtime Application Records

From the Home page in Management Mode, managers can select "Application Records," choose "Overtime Application Records," and then select a record to open its details. This feature allows managers to delete users' overtime application records and keep the data accurate and clear.

Steps

  1. Enter Management Mode Open the system and select Management Mode.

  2. Go to Application Records Select Application Records to open the management interface.

  3. Select an Overtime Application Record On the application records page, find Overtime Application Records, then select the application you want to delete to open its details.

  4. Delete the Record Select Delete on the details page. When the confirmation prompt appears, confirm again to complete the deletion.

Important Notes

  • Deletion Cannot Be Undone

    • Once an overtime application record is deleted, it cannot be restored. Proceed carefully.
    • Before deleting it, verify whether the application was submitted by mistake or is a duplicate.
  • Retain Necessary Records

    • If the record affects important scheduling or payroll calculations, back it up or document it separately before deletion.
  • Communicate with the User

    • Confirm with the relevant user before deletion to avoid misunderstandings or unnecessary disputes.
