Only an organization creator can subscribe organizations they created to this plan. An administrator who is not the organization creator cannot subscribe that organization.

Important: Always sign in to the creator account on the same phone. Using different phones may cause inconsistent organization subscription information.

Administrators can tap "Clock In" on the "Home" page in "Clock-In Mode" to enter the clock-in page. Users (employees) can take a photo when clocking in, whether mandatory or optional, and the photo will be automatically stored in the cloud for administrator review.

Cloud Storage Usage Has Reached 90%

When an organization's cloud storage usage reaches 90%, the system displays "Cloud storage usage has reached 90%" on the Home page to warn the organization creator that storage is approaching its limit. The creator can open "Cloud Storage Usage" to review current usage, free up space, or upgrade the plan.


Cloud Storage Is Full

When an organization reaches its cloud storage limit, the system displays "Cloud storage is full" on the Home page. The organization cannot upload new files or photos. The creator can open "Cloud Storage Usage" to review current usage, delete unnecessary files, or upgrade the plan.

Restrictions When Cloud Storage Is Full

When cloud storage is full, users in the organization cannot add data that consumes cloud storage, including:

  • Announcements: New files cannot be attached when creating or editing an announcement.
  • Policies: Attachment uploads are temporarily unavailable when creating or updating a policy.
  • Goals: Attachments cannot be added when publishing a new goal or updating an existing goal.
  • Organization Shared Documents: New shared-document attachments cannot be uploaded.
  • Personnel Uploads: Users (employees) cannot add files from the personnel upload page.
  • Leave Requests: New supporting documents cannot be attached to a leave request.
  • Clock-In Photos: Users cannot upload new photos when clocking in.

Existing files and photos remain stored and are not deleted. The organization creator can remove files that are no longer needed, upgrade the cloud storage plan, or resume uploading after space becomes available.


Free Up Space

Home > More > Cloud Storage Usage > Free Up Space

The organization creator can tap "More" at the bottom of the "Home" page, select "Cloud Storage Usage", and then tap "Free Up Space". Storage can be cleared for seven categories: announcements, policies, goals, organization shared documents, personnel uploads, leave requests, and clock-in photos.

For each category, the creator can delete files older than 1 month, 3 months, 6 months, or 1 year, or delete all files. Confirm that the files are no longer needed before deleting them. Deleted files cannot be recovered.


Cancel Subscription

If the organization creator cancels the storage plan or switches to the ad-free-only plan, the following changes take effect:

  • Existing Documents and Photos:

    • All uploaded documents and photos within the organization will be fully retained and will not be deleted or lost.
    • This protects the organization's data from loss when the subscription changes.
  • File Access Restrictions:

    • Everyone in the organization will be unable to view or access documents and photos, and they will also be unable to upload new files.
    • Normal access to all files is restored only after resubscribing to a cloud storage plan.

Recommendation:

Before canceling or switching plans, carefully evaluate file management needs and notify organization members in advance to ensure important data usage and smooth workflows are not affected.


When Downgrading from the 10GB Plan to the 1GB Plan

When the organization creator downgrades from the 10GB plan to the 1GB plan, the following rules apply:
