My Attendance Records

This feature improves the accuracy of attendance management and helps users understand their attendance status. Users should update to the latest system version and follow the clock-in policy to keep attendance records accurate.

Users (employees) can select My Attendance from the Home page in Clock-In Mode to open their attendance page. This page shows personal attendance records for scheduled shifts or assigned duties, including actual attendance times, clock-in times, and schedule (duty) assignments. Users can review their working hours and attendance status for subsequent reporting and management.

Note:

  • If a user does not select a configured schedule or assigned duty when clocking in, the system cannot compare the scheduled working time with the actual clock-in time. That clock-in record will therefore be excluded from attendance statistics.
  • Administrators should configure each user’s (employee’s) shift and duty times in Schedule Management and remind users to select the correct schedule when clocking in. This helps keep attendance data complete and accurate.

Users (employees) can select My Attendance from the Home page in Clock-In Mode to open their attendance page. After a query period is selected, the system uses the schedule and actual clock-in records to calculate and display Scheduled Attendance Hours, Actual Attendance Hours (Excluding Overtime), Actual Clocked Hours (Excluding Overtime), Total Overtime Hours, Late Arrivals, Early Departures, and Absences. The default query period is from the first day of the current month through today. Users can adjust the start and end dates as needed to review their attendance more precisely.

Attendance Calculation Requirements

Within a single scheduled duty period, the system includes the period in attendance calculations only when the number of Start Work punches matches the number of End Work punches.

Calculation Details

The system uses the user’s schedule and actual clock-in records to calculate and display the following information:

  1. Scheduled Attendance Hours (Schedule): The total hours accumulated from the work periods defined in the schedule.
  2. Actual Attendance Hours (Excluding Overtime): The scheduled hours accumulated for scheduled periods in which the user completed both clock-in and clock-out punches.
  3. Actual Clocked Hours (Excluding Overtime): The hours accumulated from the user’s actual Start Work and End Work punch times within scheduled work periods.
  4. Total Overtime Hours: The total hours from overtime punches.
  5. Late Arrival: A Start Work punch after the scheduled start time, including the flexible clock-in allowance, is considered late.
  6. Early Departure: An End Work punch before the scheduled end time, or actual working hours below the scheduled requirement, is considered an early departure.
  7. Absence: No clock-in record exists during the scheduled duty period.

For each duty period in the schedule, the system applies the following definitions:

  • Scheduled start time = The scheduled start time of the duty period
  • Scheduled end time = The scheduled end time of the duty period
  • Scheduled working hours = Scheduled end time - Scheduled start time - Break time
  • Actual working hours = Actual End Work punch time - Actual Start Work punch time - Break time

  1. Overtime punch records are not currently linked to overtime requests.
  2. Personal attendance calculations do not currently compare leave records.

Scheduled Attendance Hours

Scheduled Attendance Hours are the total of all work periods in the assigned schedule. They are generally calculated by adding the work periods defined by the start and end times in the company schedule. “Scheduled” may also be referred to as “stipulated.”

  • Example: If a person has five workdays in one week and each scheduled day is eight hours, the Scheduled Attendance Hours for that week are 40 hours.

Actual Attendance Hours (Excluding Overtime)

Actual Attendance Hours are the scheduled hours accumulated for scheduled periods in which the user completed both clock-in and clock-out punches. They exclude overtime periods.

  • Example: If a user completes both clock-in and clock-out punches from Monday through Friday and each scheduled day is eight hours, the Actual Attendance Hours for that week are 40 hours.

Total Overtime Hours

Total Overtime Hours are the total hours from overtime punches made outside regular working periods. Overtime punch records are not currently linked to overtime requests.

  • Example: If a user works eight regular hours on Monday and then works two additional overtime hours, the Total Overtime Hours for that day are two hours.

Late Arrival

  1. Standard schedule A user is considered late when the Start Work punch occurs after the scheduled start time.

    • Example: If the scheduled start time is 09:00 and the user clocks in at 09:05, the system automatically marks the record as late.
  2. Flexible clock-in schedule If the company uses flexible clock-in times, late arrival is determined by the latest allowed clock-in time: scheduled start time + flexible clock-in allowance.

    • Example: If the flexible clock-in allowance is one hour and the scheduled start time is 09:00, the user may clock in by 10:00 without being late. A punch at 10:05 is considered late.

Early Departure

  1. Standard schedule A user is considered to have left early when the End Work punch occurs before the scheduled end time.

    • Example: If the scheduled end time is 18:00 and the user makes an End Work punch at 17:50, the system automatically marks the record as an early departure.
  2. Insufficient working hours A user is also considered to have left early when the actual working hours are below the scheduled working hours.

    • Example:
      • Flexible clock-in allowance: 1 hour
      • Scheduled start time: 09:00
      • Scheduled end time: 18:00
      • If the user clocks in at 09:30, takes a one-hour lunch break, and clocks out at 18:00, the actual working time is 7.5 hours. Because this is below the required eight hours, the system marks the record as an early departure.

Additional Notes

  • If the company uses flexible working hours, confirm that the user meets both the minimum required working hours and the latest allowed clock-in time.
  • Actions related to late arrival or early departure, such as warnings, pay deductions, or other management measures, should be defined by the company’s internal rules or personnel policies.
  • To keep attendance records accurate, users should clock in and out according to their assigned schedules.
