Quick Scheduling

Home > Management Mode > Schedule > Quick Scheduling

On the Management Mode home page, select Schedule, then Quick Scheduling. This feature is designed for organizations whose employees have consistent weekly hours and rarely need schedule changes. Before using it, create the required shift templates, such as morning or evening shifts, then complete these steps:

  1. Select a Shift: Select the shift template to apply.
  2. Set the Period: Select the start and end dates for Quick Scheduling.
  3. Select Workdays: Choose the recurring workdays, such as Monday through Friday.
  4. Set National Holidays and Make-up Workdays: Choose whether employees need to work on national holidays or official make-up workdays.
  5. Apply to Employees: Select the employees who need this schedule.

When the setup is complete, the system automatically creates schedules for the selected period, reducing the need to schedule each day manually.

Fixed Scheduling

Fixed scheduling is a pattern in which employees have generally consistent workdays and working hours each week. For organizations with stable working hours, one setup can quickly create a fixed schedule for an extended period.

Select a Shift

Select the shift to apply from the available Shift Templates, such as a morning shift, evening shift, or another custom shift. If no shift template exists, create one first at:

Home > Management Mode > Schedule > Shift Templates

After configuring the template on the Shift Templates page, return to Quick Scheduling to select and apply it.

Start Date

Select the start date for Quick Scheduling. The default is today, but you can select a past or future date. The selected date is the first day of the schedule.

End Date

Select the end date for Quick Scheduling. A single scheduling period can be up to one year long.

Note: If the period spans two calendar years, the holiday and make-up workday settings for the next year might not yet be up to date. After creating the schedule, verify all dates that fall in the next year.

Workdays

Select the weekdays that require scheduling. You can select any combination of Sunday through Saturday.

Option Description
Sun Work is required on Sunday
Mon Work is required on Monday
Tue Work is required on Tuesday
Wed Work is required on Wednesday
Thu Work is required on Thursday
Fri Work is required on Friday
Sat Work is required on Saturday

National Holidays

Choose how national holidays are handled. Select Require Work to add a shift on a national holiday, or No Work to skip that date.

Official Make-up Workdays

Choose how official make-up workdays are handled. Select Require Work to include the date in the schedule, or No Work to leave it unscheduled.

Apply to Employees

Select one or more employees from the employee list to apply the Quick Scheduling setup.

Note: Even if an employee's Responsibility-Based System setting is Does Not Require Clock-In, the employee must still have a schedule to use Leave by Schedule or submit a multi-day leave request.

Handle Existing Schedules

After configuring Quick Scheduling, choose how to handle existing schedules during the selected period:

  1. Overwrite Schedules for This Period
    • Clear the selected employees' existing schedules for the selected period, then create shifts based on the Quick Scheduling setup.

Note: This option clears the selected employees' existing schedules during the specified period. Verify the dates and employees before continuing.

  1. Append to Existing Schedules
    • Keep existing schedules and add shifts only to unscheduled periods. The system skips a shift if its time conflicts with an existing schedule.

Choose the appropriate option to avoid deleting existing schedules or creating duplicate shifts.

Leave by Schedule Settings

After Quick Scheduling is complete, the system displays each employee's Leave by Schedule status. Green Enabled means the feature is on; gray Not Enabled means it is off.

To enable the feature, go to:

Home > Management Mode > Personnel > Personal Information > Any Employee > Leave by Schedule

Open the employee's Personal Information page and set Leave by Schedule to Enabled.

Frequently Asked Questions

Q1: Can Quick Scheduling use past dates?

A: Yes. Administrators can select a past start or end date to create historical schedules. If historical clock-in records must also be added, create the schedules first, then add the clock-in records.

Q2: What is Quick Scheduling?

A: Quick Scheduling automatically creates employee schedules for a selected period based on a shift template, workdays, and holiday settings. It is designed for organizations with consistent workdays and hours.

Q3: How do I open the Quick Scheduling page?

A: Go to Home > Management Mode > Schedule > Quick Scheduling.

Q4: What must I set up before using Quick Scheduling?

A: First create the required shift template, such as a morning or evening shift, at Home > Management Mode > Schedule > Shift Templates.

Q5: What are the steps for Quick Scheduling?

A: Complete these steps in order:

  1. Select a shift template.
  2. Select the start and end dates.
  3. Select the weekly workdays.
  4. Choose whether employees work on national holidays and official make-up workdays.
  5. Select the employees to whom the schedule applies.
  6. Choose how to handle existing schedules.

Q6: What is the maximum Quick Scheduling period?

A: A single period can be up to one year long. If it spans two calendar years, verify that the holiday and make-up workday settings for the next year are up to date, then review the generated schedules.

Q7: How do I set work requirements for national holidays and official make-up workdays?

A: In Quick Scheduling, select Require Work or No Work separately for national holidays and official make-up workdays. Require Work adds a shift; No Work skips that date.

Q8: How do I apply Quick Scheduling to employees?

A: In Apply to Employees, select one or more employees from the employee list.

Q9: How do I handle existing schedules after setting up Quick Scheduling?

A: Choose one of these options:

  • Overwrite Schedules for This Period: Clear the selected employees' existing schedules for the specified period, then create the new shifts.
  • Append to Existing Schedules: Keep existing schedules and add shifts only where no schedule or time conflict exists.

Q10: How should I adjust schedules when work is suspended because of a natural disaster?

A: First confirm the affected date and employees, then use Schedule to remove or adjust only that date's shifts. If you use Quick Scheduling to rebuild the schedule, set the start and end dates to the same affected date, then verify Apply to Employees and Handle Existing Schedules. Do not overwrite a longer period, because doing so could remove schedules on other dates.
