Clock-In Records (No Schedule)

Home > Management Mode > Clock-In Records & Management > Clock-In Records (No Schedule)

From the Management Mode home page, administrators can select Clock-In Records & Management, then Clock-In Records (No Schedule). This page lists records created when employees clocked in without selecting a schedule, allowing administrators to review and manage them in one place.

Clock-In Records (No Schedule) only includes records created without a selected schedule.

Select a clock-in time to view the complete record details, including:

  1. Clock-In Time: The date and time of the clock-in (year, month, day, hour, and minute).
  2. GPS Location: The coordinates or address recorded at the time of clock-in.
  3. Wi-Fi: The Wi-Fi hotspot connected when the employee clocked in.
  4. IP: The network IP address of the clock-in device.
  5. NFC: The corresponding NFC tag information, if NFC clock-in was used.
  6. Bluetooth: Bluetooth signal and device information, if Bluetooth clock-in was used.
  7. Clock-In Type: For example, Regular Shift or Overtime.
  8. Clock-In Point: The location used for clock-in, such as a branch, department, or designated clock-in point.
  9. Clock-In Method: The method the employee used to clock in.
  10. Photo: A photo taken and uploaded when the employee clocked in.

View User (Employee) Clock-In Records

Home > Management Mode > Clock-In Records & Management > Clock-In Records (No Schedule) > Select an Employee

Select an employee to open their no-schedule clock-in records. By default, the page shows records from the first day of the current month through today. Icons and markers indicate each record's status:

  • Purple clock: Overtime clock-in.
  • Dark blue M: A clock-in record manually added by an administrator.
  • Orange A: A correction clock-in record that is awaiting approval.
  • Light blue A: An approved correction clock-in record.

A correction clock-in record marked with an orange A is excluded from exported data until it is approved. After approval, the icon changes to a light blue A and the record is included in exported data.

The system only displays records from the employee's start date or official hire date onward. If records are missing, check whether the date was accidentally set to a future date.

Home > Management Mode > Personnel > User Profile > Edit User Profile > Start Date / Official Hire Date

Administrators can follow this path to confirm the employee's start date or official hire date.

Total Hours Calculation (No Schedule)

Home > Management Mode > Clock-In Records & Management > Clock-In Records (No Schedule) > Select an Employee > Total Hours

Total Hours is the cumulative result of subtracting each Clock-In time from its paired Clock-Out time within the selected date range. Because no work schedule is predefined, the system calculates hours from each pair of Clock-In and Clock-Out records.

Common Issues

  1. Incomplete clock-in records
    • If a Clock-In has no matching Clock-Out, or a Clock-Out has no matching Clock-In, total hours may be calculated incorrectly.
    • The employee or administrator should complete the missing record as soon as possible to avoid payroll errors.
  2. Duplicate clock-in records
    • If several Clock-In or Clock-Out records appear within the same period, the system may calculate an incorrect duration.
    • Delete unnecessary or duplicate records to keep the total accurate.
  3. Missing clock-in records
    • A missed clock-in prevents the Clock-In and Clock-Out records from forming a complete pair.
    • The employee can use Correction Clock-In, or an administrator can add the record in Management Mode.
  • For employees

    1. After each clock-in, confirm that the system displays the successful clock-in time and status.
    2. Regularly review All Clock-In Records. If a record is duplicated or missing, address it promptly or notify an administrator.
  • For administrators

    1. Review employee clock-in records regularly, especially records with errors or missing entries.
    2. If an employee reports a missing or incorrect record, add the missing record or delete the incorrect record and add a replacement.
    3. Use reports or statistics to verify total hours by department for payroll and workforce planning.

Following these practices helps reduce calculation errors in no-schedule clock-in records and improves attendance accuracy.
