First-Time Use Guide for Administrators
If you are an administrator using SwipePoint for the first time, follow the steps below to get started quickly.
Download and Installation
Confirm Device Compatibility
SwipePoint App supports:
- iOS / macOS: iOS 15.5 or later and macOS 12 or later
- Android: Android 10 or later
Make sure the administrator's device meets these version requirements.
Download SwipePoint App
- iOS (iPhone/iPad/Mac): Open the App Store, search for SwipePoint, and download it, or use the official installation link.
- Android: Open the Google Play Store, search for SwipePoint, and download it, or use the official installation link.
Registration and Login
Log In to SwipePoint
- Open the App and select a login method:
- Apple devices: Select “Sign in with Apple Account” or “Continue with LINE Account.”
- Android devices: Select “Sign in with Google Account” or “Continue with LINE Account.”
- Follow the on-screen instructions to authorize access and complete login.
Important Reminders
- No separate account registration is required. You can log in directly with an Apple, Google, or LINE account.
- If you previously registered with a mobile phone number, switch to an Apple, Google, or LINE account for more reliable access.
- When you first log in, the system may request location and notification permissions. Select “Allow” to ensure the clock-in features work correctly.
Creating and Managing an Organization
Create a New Organization
- Enter Management Mode:
- Select the menu in the upper-left corner and switch to “Management Mode.”
- Create an organization:
- Select “Create New Organization,” enter the company name, confirm the details, and submit.
- After the organization is created, the administrator automatically becomes its “Creator” and receives the highest level of management access.
- Confirm that the organization was created:
- Your organization name appears in the “Organization List.”
⚠️ Note:
- Only the Creator can delete an organization. Other administrators cannot delete it.
- Deleted organization data cannot be recovered. Please proceed carefully.
Configure Organization Information
- Invitation code and QR code:
- The system generates a unique invitation code and QR code for each organization. Share either one with users (employees) who need to join.
- Time unit:
- You can use 15 minutes, 30 minutes, or 1 hour as the calculation unit. Organizations subscribed to the Premium organization plan can set a minimum calculation unit of 1 minute.
- Feature settings:
- Missed Clock-In: Allow users (employees) to add a missed clock-in record.
- Leave Requests: Allow users (employees) to submit leave requests through the App.
- Overtime Clock-In: Allow users (employees) to clock in for overtime.
- GPS / Wi-Fi / NFC Clock-In: Select the clock-in methods that the organization allows.
Manage Permissions
SwipePoint provides four management levels:
- Creator - Has the highest management access and cannot be removed.
- Highest Administrator - Has all management permissions but cannot delete the Creator.
- Administrator (specified permissions) - Can manage selected users (employees) or features.
- General User (Employee) - Has no management permissions and can only clock in.
How do I promote a user (employee) to an administrator?
- Go to the “Management Permissions” page, select the user (employee), and configure the appropriate permission scope.
Important: After creating an organization, the Creator should add at least one user (employee) as a Highest Administrator. A Highest Administrator has the same management permissions as the Creator, so someone else can access the SwipePoint administration area if the Creator cannot log in.
User (Employee) Management
Invite Users (Employees) to Join an Organization
Administrators can invite users (employees) in the following ways:
- Invitation code - Share the numeric invitation code. The user (employee) enters it to request access.
- Invitation link - Send a link that the user (employee) can select to join.
- Invitation QR code - Let the user (employee) scan the QR code in person.
User (Employee) Joining Process
- The user (employee) downloads the SwipePoint App, logs in, and selects “Join Organization.”
- The user enters the invitation code or scans the QR code and submits the request.
- Administrator review:

Organization Management > Join Requestsand approve the user's (employee's) request to join the organization.

Edit User (Employee) Information
Administrators can update:
- Basic information (name, position, and user (employee) number)
- Leave approval supervisor (the administrator responsible for reviewing leave and overtime requests)
- Salary and employment information (for payroll calculations)
Process a User's (Employee's) Departure
- Mark the user (employee) as having left the organization:
- On the “Personnel Management” page, set the user (employee) status to Left.
- Historical attendance records remain available:
- After the user (employee) leaves, administrators can still view their clock-in and leave records.
Attendance Rule Settings
Configure Clock-In Methods
Administrators can choose from:
- Button Clock-In - Select the button in the App to clock in directly.
- QR Code Clock-In - Scan a fixed or dynamic QR code to clock in.
- NFC Clock-In - Use a phone to scan an NFC tag.
- GPS Location Clock-In - Restrict users (employees) to clocking in at specified locations.
- Wi-Fi / Bluetooth Clock-In - Connect to a specified Wi-Fi network or Bluetooth device to clock in.
Create Shifts and Attendance Rules
- Create shifts (such as day and night shifts)
- Set work start and end times
- Set rules for lateness, early departure, and overtime
- Allow or restrict missed clock-ins
Attendance Records and Reports
Find Clock-In Records
- Go to
Management Mode > Clock-In Records and Managementto view clock-in data for all users (employees). - Filter by date or user (employee) to find specific clock-in records.
Process Missed Clock-In Requests
- A user (employee) who forgot to clock in can submit a missed clock-in request.
- An administrator must review the request. After approval, the system updates the record automatically.
Export Attendance Reports
- Reports can be exported in Excel (XLSX) format for HR and payroll calculations.
- Available exports include:
- Clock-in records
- Overtime records
- Leave records

Manage Announcements
- Publish company announcements that users (employees) can view in the App.
- Upload attachments such as PDF and Word documents.
Notification Settings
- Administrators can receive push notifications when users (employees) clock in or submit leave or overtime requests.
- Enable “Attendance Exception Notifications” to respond promptly to late arrivals and early departures.
