Wi-Fi Positioning Clock-in

Wi-Fi positioning clock-in is a modern attendance method that uses the Wi-Fi network connected to an employee's device as a location reference. Compared with GPS, Wi-Fi can provide more stable indoor results, making it particularly useful in large offices, factories, and warehouses. It helps a company check whether an employee is connected to the network assigned to a work location.

No dedicated time clock or other specialized hardware is required. Employees only need a smartphone and access to an existing Wi-Fi network, which can reduce equipment purchase and maintenance costs. Employees can clock in anywhere within the authorized network's coverage instead of lining up at a fixed time clock.

The resulting attendance data can be used to review attendance patterns and support workforce planning. With the proper network settings in place, Wi-Fi clock-in gives businesses a flexible way to manage attendance in indoor work environments.


Fixed QR Code Clock-in

Scanning a fixed QR code provides a simple and efficient way to clock in. Employees scan the posted code with a phone, so they do not need to remember a password or use a dedicated device. The short process can reduce queues when many employees need to clock in at the same time. Attendance data is sent to the administration system in real time, allowing managers to review records promptly.

A company only needs to print the QR code and place it at an appropriate location, avoiding the cost of purchasing and maintaining specialized time clocks or cards. Fixed QR codes can be used at office entrances, meeting rooms, construction sites, and other designated locations. Data transmission can be protected with encryption to reduce the risk of tampering or disclosure. This combination of convenience, efficiency, and low deployment cost makes fixed QR code clock-in suitable for many attendance scenarios.


Photo Clock-in

SwipePoint's Photo Clock-in feature is designed to provide a more traceable attendance record. When employees clock in, they also take a photo that can serve as supporting evidence for the time and place of the attendance event. This is especially useful for field employees or people assigned to specific sites because managers can quickly review whether the submitted photo is consistent with the expected location.

Requiring a photo with each clock-in can also discourage fabricated records or clock-ins performed by another person. Used together with other attendance information, the photo gives an organization a more transparent and reviewable record. Companies should configure and use this feature in accordance with their privacy policies and applicable requirements.


NFC Positioning Clock-in

SwipePoint supports NFC clock-in, an efficient attendance method based on Near Field Communication. NFC is a short-range wireless technology that exchanges data between devices placed within a few centimeters of each other. Employees bring an NFC-enabled device, such as a smartphone or assigned NFC card, close to a designated clock-in point to complete the action.

This workflow simplifies clock-in and reduces manual input errors. Each NFC device or card has its own identifier, which helps link the attendance event to the assigned credential. Records are synchronized to SwipePoint's administration system in real time so managers can monitor and query them when needed. NFC clock-in is useful for businesses that want more accurate attendance records without a complicated clock-in process.


Button Clock-in

SwipePoint lets employees clock in by tapping a button while also recording the device's GPS coordinates. The time and location record gives the company a reference for reviewing where the clock-in occurred. Employees can complete the action anywhere with an internet connection, which is convenient for people working from home, in the field, or while traveling.

Clock-in data is sent to the administration system immediately, allowing HR staff and supervisors to review attendance without collecting paper cards or data from a physical time clock. This can reduce equipment costs and administrative work while giving mobile employees greater flexibility. GPS results may be affected by the environment, device settings, and signal quality, so location data should be evaluated with other attendance information rather than treated as absolute proof by itself.


Bluetooth Positioning Clock-in

Bluetooth positioning clock-in uses nearby Bluetooth signals to support attendance management. It works within the coverage area of a configured transmitter, such as an office, meeting room, or workstation, without requiring employees to use a traditional time clock. Bluetooth often performs better than GPS inside buildings and in other places where satellite signals are weak, while using relatively little phone battery power.

A company can configure a Bluetooth transmitter at each clock-in location. Depending on the setup, a Bluetooth speaker, printer, headset, keyboard, mouse, tracker, or compatible smart device may provide the required signal. Employees' phones detect the signal and complete the clock-in process. Records are sent to the administration system in real time for review and analysis. This flexible, low-power method is particularly suitable for indoor and mobile-office environments.


IP-Based Clock-in

SwipePoint's IP-based clock-in compares the network IP address used by an employee's device with the trusted IP ranges configured by the company. When an employee clocks in, SwipePoint captures the current network address and checks whether it belongs to an approved range. This helps a company limit clock-ins to a specified office network or another authorized remote-work network.

The feature is particularly useful for organizations with fixed workplaces or remote-work arrangements that require use of a designated network. Through SwipePoint's administration system, managers can review the network used for a clock-in and add or adjust trusted IP ranges as work arrangements change. Because an IP address identifies a network rather than a person's exact physical position, it should be used as one attendance control among other available records.


GPS Positioning Clock-in

A phone determines its GPS location by receiving signals from satellites in the Global Positioning System. In general, the process involves four steps: (1) the phone receives signals from several satellites, usually at least four for a reliable fix; (2) it estimates the distance to each satellite from the signal travel time; (3) it uses those distances to calculate a three-dimensional position, including latitude, longitude, and altitude; and (4) an app can display or use the resulting location on a map.

GPS clock-in can record the location reported by a field or remote employee's device at the time of attendance. It allows employees to clock in away from a fixed time clock and gives supervisors timely location information for reviewing field assignments, work progress, and attendance. It can also reduce the cost of physical equipment and the time employees spend waiting to clock in. The collected data may support route planning and attendance analysis.

GPS accuracy can vary with indoor conditions, surrounding buildings, device settings, and signal quality. The reported location should therefore be treated as a reference and reviewed together with other attendance information. Companies should inform employees about the collection purpose, scope of use, retention period, and access permissions, and configure the feature in accordance with applicable requirements and company policy.


Dynamic QR Code Clock-in

Scanning a dynamic QR code provides a secure and convenient way to clock in. The code changes at regular intervals or after use, so an old photo or screenshot cannot be reused after the code has been refreshed. This reduces the risk of fraudulent clock-ins. Employees only need to scan the current code with a phone; they do not need to remember a password or use specialized hardware.

Attendance records are updated in the administration system in real time for managers to review. The code can be displayed on any internet-connected device and read by a phone with a scanning function, making the method suitable for different locations and events. It also avoids physical cards and dedicated time-clock equipment. Dynamic QR code clock-in combines a straightforward workflow with stronger protection against reuse of an old code.

Work-from-Home Location Records

After a company enables GPS location recording, SwipePoint can record an employee's location at clock-in and compare it with clock-in locations configured by the company. The result can be used as a reference for managing work-from-home or remote attendance. GPS results may be affected by indoor conditions, device settings, and signal quality, and cannot by themselves provide absolute proof of an employee's actual work status.

Before enabling the feature, a company should inform employees of the collection purpose, scope of use, retention period, and access permissions. It should configure the feature in accordance with applicable laws, company policies, and any required consent or other lawful basis.


Photo Upload

SwipePoint allows employees to upload photos from company activities, helping teams share experiences and strengthen engagement. Managers can also ask employees to upload photos of company equipment or documents for recordkeeping and later reference. This can reduce time spent locating paper records or physical assets, decrease paper use, and help managers review company assets and work progress more efficiently.


Team Goal Setting

SwipePoint helps teams define goals so every member can understand the company's direction and current priorities. Employees can set individual or team goals in the system and track their progress. SwipePoint can also generate reports based on goal completion, giving management a clearer view of the team's progress and results. Shared goals and progress records support more efficient work and better collaboration toward the company's long-term objectives.


Automated Tenure Calculation

SwipePoint can calculate work hours, annual leave, overtime hours, tenure, and other HR information. Tenure is an important reference for benefits, promotion opportunities, and salary adjustments. Companies can review each employee's service history and apply their own rules when calculating the corresponding benefits or adjustments. SwipePoint can also remind managers to review service milestones when planning promotions and career development, helping the organization manage tenure information more consistently.


Medal Reward System

SwipePoint's medal reward system is designed to recognize employees and encourage positive performance. Organizations can use different medals for different achievements. Examples include a monthly perfect-attendance medal for employees with no absence and on-time clock-ins; an early-arrival medal for employees who consistently arrive ahead of schedule; a no-lateness medal for employees who have not been late during a defined period; an overtime contributor medal; a project contribution medal; and a service excellence medal for outstanding customer service.

A monthly performance medal can also recognize an employee based on factors such as job performance, project completion, and teamwork. Award results can be announced in SwipePoint. Used with fair and clearly communicated criteria, medals can help employees feel recognized, encourage healthy participation, and give managers another way to highlight contributions to the company.


Company Policy Management

In addition to attendance, payroll, and annual-leave administration, SwipePoint helps businesses create and maintain company policies. A company can define content such as overtime rules, leave policies, and disciplinary procedures so employees can understand their rights and responsibilities. An approval workflow supports policy additions and revisions while reducing the risk of unauthorized changes. This improves the transparency and efficiency of policy management.


Performance Reviews

SwipePoint includes an employee review system in addition to its attendance features. Supervisors can record evaluations directly in the application, track performance over time, and provide timely, specific feedback. The system can document both strong performance and areas for improvement, giving teams a more consistent and transparent review record. It can be used for periodic reviews, project reviews, or immediate feedback to support employee development and team management.


Public Holiday Management

SwipePoint can help maintain public-holiday data, notify employees of holidays, and support leave statistics and workforce planning. Under Taiwan's current rules, workers have 16 national holidays each year. Actual holiday dates, substitute days, holiday adjustments, and pay for working on a holiday must still follow the latest announcements from the competent authorities and applicable requirements. Companies should regularly compare SwipePoint's holiday data, annual calendar, and internal policies instead of relying only on system defaults for legal compliance.

HR Calendar Management

SwipePoint helps companies manage employee leave and special dates through an HR calendar. Managers can track holidays and other important dates, review annual-leave and tenure information, and configure a company workforce calendar for team schedules. Keeping this information in one place makes planning easier and can reduce the time and cost of routine schedule administration. Managers should still verify calendar data and calculation rules when policies or official schedules change.


Emergency Contacts

SwipePoint stores emergency contact information in each employee's profile. If an employee experiences an emergency at the workplace or during work hours, a supervisor or HR staff member can quickly find the record and contact the designated person. Prompt access to accurate contact information supports a faster response and forms part of an organization's employee welfare and safety procedures. Access should be limited to authorized personnel and managed under the company's privacy policy.


Document Downloads

SwipePoint lets a company provide documents for employees to download, such as policy manuals, employee handbooks, and training materials. Managers can upload files to the platform and share them with the employees who need them. Download access can also be limited to selected employee groups, improving control over internal information. Centralized sharing simplifies document distribution and supports more efficient internal collaboration.


Company Directory

SwipePoint can maintain a company directory so employees can find coworkers' contact information when needed. Managers can add, edit, and remove contact records to keep the directory accurate and complete. Employees can search or filter the directory, then use the SwipePoint app to place a call or send a text message. Easy access to current contact details supports faster communication and collaboration.


Designated Substitute

A designated substitute is an important part of the leave process. When an employee submits a leave request in SwipePoint, the employee must first notify the person assigned to cover the role. This gives the substitute time to prepare for the absence and arrange the related responsibilities. The employee's direct supervisor then receives the request and can see whether the substitute has been notified. That information gives the supervisor useful context when deciding whether to approve the leave and makes the workflow clearer for everyone involved.


Announcements

Managers can use SwipePoint to publish announcements to all employees or to selected people and groups. For example, a manager can announce a company event, remind an employee about an upcoming assignment, or send information only to a particular department or region. Targeted announcements reduce the need to contact employees one by one while helping the company deliver the right information to the intended recipients.


Overtime Applications

SwipePoint lets employees submit overtime applications and allows supervisors to review them promptly. An employee enters the expected overtime date, time, and reason, then submits the application. The direct supervisor receives a notification and can review the request against company rules and operational needs. The employee is notified when the application is approved or rejected. SwipePoint retains the application and decision as a record for later queries or audits, improving the transparency and traceability of the process.


Leave Applications

SwipePoint's online leave feature allows employees to submit leave requests from anywhere. After receiving a notification, the supervisor can review the request and approve or reject it. Once leave is approved, the leave information can be synchronized with Google Calendar and the company calendar when the relevant integration is configured. Keeping approved leave visible to the team reduces communication gaps and supports smoother workforce planning.


Missed Clock-in Correction Requests

If an employee forgets or is unable to clock in or out, the employee can submit a correction request through SwipePoint. The request should explain why the attendance event was missed and state the actual start or end time. A supervisor or HR department then reviews and approves or rejects it.

Correction policies vary by company. Some organizations limit the number of requests or do not allow corrections in certain circumstances, so employees should understand and follow their company's attendance policy. Frequent reliance on corrections may require follow-up because it can indicate a time-management or process issue.


Birthday Reminders

SwipePoint can remind managers about employee birthdays so they have time to prepare an appropriate message, celebration, or gift. Birthday data can be taken from employee profile information and reminders can be sent in advance according to the configured schedule. Thoughtful reminders help employees feel recognized and can contribute to a more connected workplace culture.


Work-from-Home Applications

As remote and home-based work become more common, SwipePoint lets employees submit work-from-home applications directly in the app. The workflow simplifies the request process and gives supervisors and employees a clear channel for discussing the proposed arrangement. Once an employee submits a request, the direct supervisor receives a notification, reviews the details, and approves or rejects it according to the company's needs and policies. The feature helps organizations manage flexible work arrangements through a consistent process.


Fieldwork and Business Trip Applications

SwipePoint lets employees submit applications for fieldwork or business trips directly in the app. When an employee needs to visit a client, perform an off-site assignment, or travel for business, the employee enters the details and submits a request. The direct supervisor receives a notification, reviews the proposed trip, and decides whether to approve it. Keeping applications and decisions in one workflow improves transparency and gives managers a reliable way to supervise off-site work.


The following features are under development and will be available in the future:


LINE Clock-in

SwipePoint's planned LINE integration is intended to let employees clock in through the widely used messaging app without switching to a separate attendance application. Because many employees already use LINE every day, this can reduce the time required to learn a new workflow. Employees and managers could receive clock-in confirmations and related notifications directly in LINE, while companies could avoid purchasing dedicated clock-in hardware by using employees' smartphones.

LINE features such as messages and stickers could also make the attendance process more familiar and interactive—for example, a morning clock-in could be accompanied by a “Good morning” sticker. The planned integration aims to provide a convenient and approachable clock-in option while improving employee participation.


Irregular Clock-in Alerts

SwipePoint can identify and record employee clock-in and clock-out times and apply a configured grace period. Clock-ins within that period are treated as normal. When a time falls outside the expected range, the system can notify a supervisor for review and follow-up, helping the company address the record before it causes an attendance dispute. SwipePoint can also generate attendance and absence reports so businesses can review employee work time and attendance more effectively.


Turnover Intention

Turnover intention refers to the likelihood that an employee will change jobs within a certain period, or to a withdrawal response that may follow job dissatisfaction. It is commonly discussed as a combination of job dissatisfaction, thoughts of leaving, a tendency to look for another job, and the perceived possibility of finding one.

In a narrower sense, turnover is the movement of labor from inside an organization to the outside. Turnover intention describes an employee's considered intention or latent desire to leave after working for an organization for some time. It is often treated as a predictor of actual resignation. Influencing factors can come from society, the organization, and the individual, including external conditions, personal psychology, and the internal work environment.

Turnover can be divided broadly into voluntary and involuntary departures. Involuntary departures include dismissal, retirement, and departures related to occupational injury, while voluntary departures are initiated by employees. Voluntary turnover may lower morale among remaining staff and result in the loss of investments in human capital, which is why it receives substantial attention from managers and researchers. Because resigning can significantly affect an employee's life, family, and career, employees often consider the decision carefully and may show signs of turnover intention before formally leaving.


Automated Annual Leave Calculation

SwipePoint can calculate and manage annual-leave entitlements using the company's configured leave rules, each employee's start date, and tenure. This reduces manual calculations and the risk of missed entitlements. Managers remain responsible for maintaining rules that reflect applicable requirements and company policy, and for checking system settings and calculation results whenever those rules change. The system can also generate reports that help management review each employee's available and used annual leave.


Voting

SwipePoint's voting feature provides a simple platform for activities such as choosing a company trip plan or recognizing an outstanding employee. Managers create a vote by entering its topic, options, and deadline. Employees can view available votes and submit their choices with a few taps. SwipePoint tallies votes in real time so managers can monitor progress, and the final result can be published in the system. A transparent voting process can simplify group decisions and encourage employee participation.


Work Logs

SwipePoint's work log feature gives employees a place to record their daily work and gives supervisors information for reviewing workload and progress. At the end of a workday, employees can document completed tasks, meetings, challenges, and other activities, and can attach files or photos. The log becomes available to supervisors and other authorized personnel once it is submitted.

Supervisors can use the records to understand progress, workload, efficiency, and support needs. Stored logs also create a historical work record that employees and managers can review during future evaluations or process improvements. The feature increases work visibility while helping supervisors allocate resources and support more effectively.


Proxy-Device Clock-in

SwipePoint's Proxy-Device Clock-in feature allows an employee who has forgotten a phone to use a coworker's device to complete a clock-in. It does not allow the coworker to clock in on the employee's behalf: the employee must personally complete the action. The option gives employees another way to create an attendance record while preserving personal accountability.

The system records that another person's device was used so the event can be reviewed and audited. The company should establish clear policies, provide training, and apply appropriate security and privacy controls. Usage limits or other safeguards can help prevent abuse. These measures allow the feature to add flexibility while maintaining accurate and fair attendance records.


SafeCheck Report

SwipePoint's SafeCheck Report lets employees report their location and time while working away from the usual workplace. An employee visiting a client, inspecting a branch, or performing another field assignment can check in upon reaching the destination. SwipePoint records the reported arrival time and geographic location and sends the update to the employee's supervisor.

The location-verification setting helps compare the report with the designated destination and reduce inaccurate records. All SafeCheck records are stored in SwipePoint so authorized supervisors can review past reports, understand field activity, and manage employee safety and work progress. Location results may vary with the device and signal environment and should be reviewed with other available information.


Inspection Work Records

SwipePoint provides a structured way to record recurring inspections. Before inspections begin, the company places a uniquely named NFC card or QR code at each inspection location. When an inspector arrives, the inspector opens SwipePoint and selects “Inspection started.” After completing the work, the inspector opens SwipePoint again and selects “Inspection completed.” The system then records the inspection's time, location, and status.

Managers can review each inspector's progress through SwipePoint's administration system without visiting every site. They can also export reports showing the start and end time of each inspection, making the process more transparent and easier to manage.


Message Notifications

Managers can use SwipePoint to send proactive notifications to employees. Messages can remind employees to start work, share company news, or communicate other timely information. SwipePoint also supports scheduled reminders, helping managers follow work progress and remind employees about tasks that need to be completed by a deadline.


Event Registration and Check-in

SwipePoint's event feature provides an end-to-end workflow for registration and on-site check-in. Administrators can create organizations and events, then configure the event name and code; start and end date and time; entry and exit check-in windows; participant limit; and registration opening and closing times. They can also define quantitative scoring rules for participation and share the event with prospective participants through a link or QR code.

Participants can open the link or scan the code on a phone to register. At the venue, a phone or tablet can scan a dynamic QR code for entry and exit check-in. Managers can review registration and participation status at any time and export participants' scores. Participants can view events for which they have successfully registered and check their current scores. This workflow keeps event registration and attendance organized while making participation and scoring more transparent.
