How to Resolve Garbled Characters in Schedule Records

When you open a UTF-8 schedule record CSV file directly in Excel for Windows, text may appear garbled if the file does not contain a byte order mark (BOM) or Excel interprets it using another encoding. We recommend importing the file and selecting UTF-8. Do not convert the file to ANSI or Big5, because characters that those encodings cannot represent may be lost.

Method 1: Import the UTF-8 CSV File in Excel

  1. Open Excel and create a blank workbook.
  2. Select Data > Get Data > From File > From Text/CSV. Some versions display Data > From Text/CSV directly.
  3. Select the exported CSV file, then select Import.
  4. In the preview, confirm that the file origin or encoding is UTF-8 and the delimiter is a comma.
  5. After confirming that the preview is correct, select Load.

Method 2: Save the CSV File as UTF-8 with BOM

  1. Open the CSV file in a text editor that supports encoding conversion, such as Notepad++ or VS Code.
  2. Change the file encoding to UTF-8 with BOM or UTF-8 BOM.
  3. Save it as a new file, then open the new file in Excel.

Frequently Asked Questions

Q1: Where can administrators run the schedule export function?

A: Administrators should enter the Home page under Management Mode, click Schedule, and then select Export Schedule to enter the page and export employee schedules within a specified time range.

Q2: What specific schedule record fields are included in the exported CSV file?

A: The file includes the following fields: User ID, Employee ID, Employee Name, Schedule Name, Check Point, Start Time, End Time, Cross Day, Hours, Breaks, and Create Time.

Q3: Why do garbled characters appear when opening the exported CSV file in Excel?

A: SwipePoint exports CSV files in UTF-8. If Excel does not detect UTF-8 correctly when opening the file directly, Chinese text may appear garbled.

Q4: What methods are available to fix garbled character issues?

A: There are two main methods:

  1. Excel import: Open a blank Excel workbook, select Data > Get Data > From File > From Text/CSV, and confirm in the preview that the encoding is UTF-8.

  2. Save as a new file: Open the CSV in a text editor such as Notepad++ or VS Code, change the encoding to UTF-8 with BOM, and save it as a new file. Do not convert it to ANSI or Big5.

Q5: How should the “Cross Day” field in exported data be interpreted?

A: This field indicates whether the schedule crosses days. If the field displays YES, it means the schedule is a cross-day schedule. If it is blank, it means no.

Q6: What is the format of the “Breaks” field in schedule records?

A: This field displays the break time and duration in the format Time(Duration), for example, 12:00(1h).

Q7: If I want to send files from my phone to a computer via LINE, how do I create a group for file transfer?

A: You can create a single-person group. On the LINE Add Friends page, select Create Group, do not select any friends on the Select Friends page, and directly tap Next. Enter the group name and tap Create. Then, when exporting schedule records, select sharing to LINE and choose this group.

Q8: How can I transfer schedule files from my phone to a computer using Google Drive?

A: First, download and log in to the Google Drive app. On the Home page of SwipePoint Management Mode, click Schedule > Export Schedule, then select Google Drive to save the file. After completion, you can open Google Drive on your computer to download the file.
