Overtime Clock-In Records
Home > Management Mode > Clock-In Records > Overtime Clock-In Records
In Management Mode, administrators can select Clock-In Records on the Home page, then select Overtime Clock-In Records. This page centralizes the overtime Clock-In records of all users (employees), making them easier to review and manage.
Overtime Clock-In Recordsare used to calculate attendance for overtime schedules.

View an Employee's Clock-In Records
Home > Management Mode > Clock-In Records > Overtime Clock-In Records > Any Employee
In Management Mode, administrators can select Clock-In Records on the Home page, select Overtime Clock-In Records, then select an employee. By default, the page displays the employee's records from the first day of the current month through today. Icons identify different record types and statuses:
- Purple clock icon: An overtime Clock-In.
- Dark blue M icon: A Clock-In record manually added by an administrator.
- Orange A icon: A Missed Clock-In record that has not yet been approved.
- Light blue A icon: An approved Missed Clock-In record.
An orange A icon means that the Missed Clock-In record is still awaiting approval and will not be included in exported data. After approval, the record is included in exported data and the icon changes to a light blue A icon.
The system displays only records on or after the employee's Hire Date and Official Start Date. If no records appear, one of these dates may be incorrect—for example, it may have been set to a future date. Check the dates on the Personal Information page by following this path:
Home > Management Mode > HR > Personal Information > Personal Information Edit Page > Hire Date / Official Start Date
In Management Mode, administrators can select HR on the Home page, select Personal Information, then select an employee to review the Hire Date and Official Start Date.

Calculate Total Overtime Hours
Home > Management Mode > Clock-In Records > Overtime Clock-In Records > Any Employee > Total Hours
In Management Mode, administrators can select Clock-In Records on the Home page, select Overtime Clock-In Records, then select an employee. Total Hours is the sum of the duration between each paired Start Work and End Work record within the selected time range. Because overtime does not have preset start and end times, the system calculates the total by pairing each Start Work record with an End Work record.
Common Issues
- Incomplete Clock-In records:
- If an employee has a Start Work record without a corresponding End Work record, or vice versa, the calculated hours will be incorrect.
- The employee or administrator should add the missing record promptly to prevent payroll errors.
- Duplicate Clock-In records:
- Multiple Start Work or End Work records in the same period may produce an incorrect total.
- Delete unnecessary or duplicate records to ensure that Total Hours is calculated correctly.
- Missing Clock-In records:
- If an employee forgets to clock in, the system cannot form a complete Start Work and End Work pair.
- The employee should submit a Missed Clock-In request, or an administrator can add the record in Management Mode.
Recommended Practices
-
For employees:
- After each Clock-In, confirm that the system displays the correct time and a successful status.
- Regularly review personal records in All Clock-In Records. If a record is missing or duplicated, correct it or notify an administrator promptly.
-
For administrators:
- Regularly review employee Clock-In records, especially missing or unusual entries.
- If an employee reports a missing or incorrect record, add or delete the relevant record. To correct a record, delete the incorrect one, then add the correct one.
- Use reports or analytics to check departmental Total Hours for payroll and workforce planning.
These checks help keep overtime calculations accurate and improve attendance management efficiency.

Q7: How does SwipePoint calculate total overtime hours?
A: Within the selected time range, the system pairs each Start Work record with an End Work record and adds the duration of every pair. Because overtime has no preset start and end times, make sure every Start Work record has a matching End Work record.
Q8: How do I add, delete, or correct an overtime Clock-In record?
A: Follow this path: Home > Management Mode > Clock-In Records > Overtime Clock-In Records > Any Employee. You can add a record or select an existing record and delete it. Direct editing is not supported; to correct a record, delete the incorrect one, then add the correct one. You can also view the note the employee entered when clocking in.
Q9: Why does an employee's compensatory leave balance differ from the approved records?
A: When an employee submits a compensatory leave request, the requested hours are deducted immediately. While the request is pending, only the employee who submitted it and the assigned reviewer can see it; administrators can view it after approval. Ask the assigned reviewer to complete the review, or ask the employee to delete the request.
