How Much Can 100GB Store?
100GB of cloud storage equals 100,000 MB in decimal units, or approximately 102,400 MiB in binary units.
Assume the company only uses photo clock-in on workdays, with 5 workdays per week, 5 people in the company, and each person takes 1 photo when clocking in and 1 photo when clocking out each day. In that case, approximately 50 clock-in photos will be generated each week.
At an average of 0.5 MB per clock-in photo, 100GB can theoretically store about 200,000 photos. At approximately 215 photos per month, that is about 930 months, or approximately 77 years and 6 months.
Actual capacity varies with photo resolution, compression, and file size. Files and attachments uploaded through other features also use the same shared storage.
View Cloud Storage Usage
Home > Admin Mode > More > Cloud Storage Usage
Organization creators can tap “More” at the bottom of the “Home” page in “Admin Mode,” then select “Cloud Storage Usage.” If a storage plan is active, this page shows the used and remaining capacity.
Cloud Storage Is 90% Used
When cloud storage usage reaches 90%, the system displays “Cloud storage is 90% used” on the Home page. The organization creator can open “Cloud Storage Usage” to review the details, delete unneeded files, or upgrade the plan.
Cloud Storage Is Full
When the organization’s cloud storage reaches its limit, the system displays “Cloud storage is full” on the Home page, alerting the organization creator that no new files or photos can be uploaded. The organization creator can open “Cloud Storage Usage” to review usage, delete unneeded files, or upgrade the plan.
Restrictions When Cloud Storage Is Full
When storage is full, everyone in the organization is prevented from adding new data that uses cloud storage, including:
- Announcements: New files cannot be attached when adding or editing an announcement.
- Policies: Attachment uploads are temporarily restricted when creating or updating policy content.
- Goals: Related attachments cannot be added when publishing a new goal or adjusting an existing goal.
- Organization shared documents: New shared-document attachments cannot be uploaded.
- Personnel uploads: Users cannot add files on the personnel upload page.
- Leave requests: New supporting documents cannot be attached when submitting a leave request.
- Clock-in photos: Users cannot upload new photos when clocking in.
Existing files and photos remain available. The organization creator can delete unneeded files to release space or upgrade to a higher-capacity plan before uploads resume.
Free Up Storage
Home > Admin Mode > More > Cloud Storage Usage > Free Up Storage
The organization creator can clean up files in seven categories: announcements, policies, goals, organization shared documents, personnel uploads, leave requests, and clock-in photos.
Files older than one month, three months, six months, or one year can be deleted, or all files can be deleted at once. Deleted files cannot be restored, so confirm they are no longer needed and download a backup when necessary.
Cancel the Subscription
If the organization creator cancels the cloud storage plan or switches to an ad-free-only plan, the following situations will occur:
-
Existing documents and photos:
- Existing documents and photos are not deleted immediately after the plan changes.
-
File access restrictions:
- Everyone in the organization will be unable to view or access documents and photos, and will also be unable to upload new files.
- Normal access to and use of all files can only be restored after resubscribing to a cloud storage plan.
Recommendation: Before canceling or switching plans, carefully evaluate file management needs and notify organization members in advance to ensure that important data usage and workflows are not affected.
Downgrading from 100GB to 1GB
When the organization creator downgrades from the 100GB plan to the 1GB plan, the following rules apply:
-
If the organization’s total usage is less than 1GB:
- The organization creator and members can continue normal use, including uploading new files or photos.
-
If the organization’s total usage exceeds 1GB:
- Existing files and photos: The organization creator and members can still view existing files and photos.
- Upload restriction: All members within the organization will be unable to upload any files or use photo clock-in until the organization’s total usage is reduced below 1GB.
Recommendations:
- Before downgrading, clean up unnecessary files to reduce storage usage and avoid disruptions.
- If more storage space is needed, consider upgrading the plan again to keep the organization operating normally.
This ensures smooth file management and prevents daily operations from being interrupted due to insufficient storage space.
Notes
-
Cloud Storage Management
- It is recommended to regularly clean up unnecessary files to ensure effective use of cloud space.
- If 100GB of cloud storage space is insufficient, consider upgrading to a higher-capacity plan, if applicable.
-
Data Use Principles
- File transmission and storage are governed by SwipePoint’s published security and privacy information. Do not upload sensitive data beyond what is required for work.
-
Storage Sharing
- Multiple organizations under the same creator share the 100GB of storage, and usage is calculated from the total size of files across all organizations.
Frequently Asked Questions
Q1: How do I subscribe to the “Organization Ad-Free + 100GB Cloud Storage Monthly Plan”?
A: The organization creator can tap “PREMIUM” at the bottom of the “Home” page in “Admin Mode,” then select the “Organization Ad-Free + 100GB Storage Monthly Plan.” Only an organization creator can subscribe.
Q2: What are the main features of this plan?
A: The plan has three main features: an ad-free environment for all organizations created by the organization creator; 100GB of shared cloud storage for members to upload files and attachments and manage documents centrally; and data export for individual or all personnel records covering a period of up to one year.
Q3: Who can subscribe to this plan for an organization?
A: Only the organization creator can subscribe. The plan applies to all organizations created by that account. An administrator who is not the creator cannot subscribe on the organization’s behalf.
Q4: Which features can use the 100GB cloud storage space?
A: This 100GB cloud storage space is exclusive to Premium subscribers and can be used for the following features: uploading photos during photo clock-in, uploading various files in “My Uploads,” attaching supporting documents to leave requests, adding attachments to announcements, attaching files to policies, adding plans or related materials to goals, and uploading documents for members to download in “Organization Shared Documents.”
Q5: How large is 100GB of cloud storage space, and how many photos can it store?
A: At an average of 0.5 MB per photo, 100GB can theoretically store about 200,000 photos. At approximately 215 photos per month, that is about 930 months, or approximately 77 years and 6 months. Actual capacity also depends on photo size and the storage used by other files and attachments.
Q6: How do I view the organization’s cloud storage usage?
A: Organization creators can tap “More” at the bottom of the “Home” page in “Admin Mode,” then select “Cloud Storage Usage.” If a storage plan is active, the page shows the current organization’s storage usage.
Q7: What happens to uploaded files if the cloud storage plan is canceled?
A: After the organization creator cancels the storage subscription or switches to an ad-free-only plan, existing files and photos are not immediately deleted, but all members are unable to view, access, or upload files. These functions return after the organization resubscribes to a cloud storage plan. Review storage needs and notify members before canceling or switching plans.
Q8: What restrictions apply when downgrading from the 100GB plan to the 1GB plan?
A: If the organization’s total usage is less than 1GB, the organization creator and members can continue normal use and upload files. However, if the organization’s total usage exceeds 1GB, existing files and photos can still be viewed, but all members within the organization will be unable to upload any files or use photo clock-in until the organization’s total usage is reduced below 1GB. Therefore, it is recommended to clean up unnecessary files before downgrading or consider upgrading again to maintain normal operations.
Q9: Where is the “Cloud storage is 90% used” message displayed?
A: When usage reaches 90%, the system displays the message on the Home page. The organization creator can open “Home” > “Admin Mode” > “More” > “Cloud Storage Usage” to review the details.
Q10: What should I do when cloud storage is full?
A: When storage is full, the system displays a message on the Home page, and members cannot upload new files or photos. The organization creator can open “Home” > “Admin Mode” > “More” > “Cloud Storage Usage” to review the details, then delete unneeded files or upgrade the storage plan.
