The organization creator can select “PREMIUM” at the bottom of the Admin Mode home screen and start the subscription. Once subscribed, every organization created by that person receives an ad-free experience, a shared 50GB of cloud storage, and advanced data export features.

Only an organization creator can subscribe. An administrator who did not create the organization cannot subscribe on its behalf.

Plan Features

  1. Ad-free experience: Members of every organization created by the subscriber can use the app without ads while the plan is active.
  2. 50GB of shared cloud storage: All organizations created by the same person share 50GB for files, photos, and attachments.
  3. Advanced data export: Administrators can export records for one person or all personnel for a period of up to one year.

Ways Cloud Storage Is Used

The following features use cloud storage and require a plan that includes cloud storage capacity.

Clock-In Photos

Home > Clock-In Mode > Clock In > Photo (Tap to Take a Photo)

Users (employees) can take a photo when clocking in. Uploaded photos use the organization’s cloud storage and are available for administrators to review.

My Uploads

Home > Clock-In Mode > My Uploads > Upload File

Users (employees) can upload work photos, documents, and other attachments for later reference.

Leave Attachments

Home > Clock-In Mode > My Leave and Leave Request > Request Leave > Attachment

Users (employees) can attach medical certificates or other supporting files when submitting a leave request.

Announcement Attachments

Home > Admin Mode > Send Notifications > Announcements > Add Announcement > Attachment

Administrators can attach files to new or existing announcements for organization members to download or view.

Policy Attachments

Home > Admin Mode > Send Notifications > Policies > Category > Add Policy > Attachment

Administrators can attach employee handbooks, procedures, or other documents when adding or updating a policy.

Goal Attachments

Administrators can attach plans or supporting documents when publishing a goal.

Organization Shared Documents

Administrators can upload form templates, guides, and other work documents for organization members to download.


How Much Can 50GB Store?

Using decimal units, 50GB is approximately 50,000 MB. Using the binary units common on computers, it is approximately 51,200 MiB.

Suppose a company has five employees who work five days per week and each takes one clock-in and one clock-out photo per day. This produces about 50 photos per week. If each photo averages 0.5 MB, 50GB can theoretically hold about 100,000 photos. At approximately 215 photos per month, that is about 465 months, or about 38 years and 9 months.

Actual capacity varies with image resolution, compression, and file size. This estimate excludes other uploaded files and attachments and is intended only for capacity planning.

From the Admin Mode home screen, select “More,” then “Cloud Storage Usage” to view the used and remaining capacity.


Cloud Storage Is 90% Used

When cloud storage usage reaches 90%, the home screen displays “Cloud storage is 90% used.” The organization creator can open “Cloud Storage Usage” to review usage, delete unneeded files, or upgrade the plan.


Cloud Storage Is Full

When cloud storage reaches its limit, the home screen displays “Cloud storage is full.” The organization creator can open “Cloud Storage Usage” to review usage and delete unneeded files or upgrade the plan.

Restrictions When Cloud Storage Is Full

When storage is full, organization members cannot add any new content that uses cloud storage, including:

  • Announcement attachments
  • Policy attachments
  • Goal attachments
  • Organization shared documents
  • Files uploaded by personnel
  • Leave request attachments
  • Clock-in photos

Existing documents and photos remain stored. Users can upload again after enough space is freed or the capacity plan is upgraded.


Free Up Storage

Home > Admin Mode > More > Cloud Storage Usage > Free Up Storage

The organization creator can clean up seven categories: announcements, policies, goals, organization shared documents, personnel uploads, leave requests, and clock-in photos.

Files older than one month, three months, six months, or one year can be deleted, or all files can be deleted. Deletion cannot be undone. Confirm that the files are no longer needed and download a backup when necessary before proceeding.


Cancel the Subscription

If the organization creator cancels the cloud storage plan or switches to an ad-free-only plan:

  • Existing documents and photos are not deleted immediately because of the plan change.
  • Organization members cannot view or access existing documents and photos, or upload new files.
  • File access and uploads resume only after subscribing again to a plan that includes cloud storage.

Before canceling or switching plans, review how the files are used, download important files when necessary, and notify organization members in advance.


Downgrading from 50GB to 1GB

The following rules apply when the organization creator downgrades from the 50GB plan to a 1GB plan:

  • Total usage is below 1GB: Members can continue viewing and uploading files.
  • Total usage is above 1GB: Existing documents and photos remain viewable, but members cannot upload new files or use photo clock-in until total usage drops below 1GB.

Delete unneeded files before downgrading. All organizations created by the same person share the 50GB capacity, and their usage is combined. File transmission and storage are governed by SwipePoint’s published security and privacy information. Do not upload sensitive data beyond what is required for work.
