Policies
Management Mode > Notifications > Policies
Company policies provide clear guidelines and serve as a foundation for organizational operations. They enhance communication efficiency, build trust among employees, and ensure transparency and compliance.
Centralized Management of Policy Documents to Minimize Miscommunication
SwipePoint's policy upload feature allows managers to centralize essential company policies, such as reward systems, leave policies, overtime rules, and HR guidelines, onto a unified platform. This ensures that all employees and supervisors can access the latest and most accurate versions of these documents, reducing errors and misunderstandings caused by scattered or outdated information.
Boosting Organizational Communication Efficiency and Transparency
When a new policy is introduced or changes are made to an existing one (e.g., updates to the incentive system or bonus structure), managers can instantly notify relevant employees via SwipePoint. This ensures timely dissemination of updated information, fostering a transparent and trustworthy workplace culture.
Customizable Policy Categories for Easy Management and Search
Managers can define policy categories based on the organization’s needs (e.g., reward system policies, travel policies, attendance policies) for better organization. Categorizing policies improves efficiency, enabling employees to quickly find and review specific rules that apply to their roles, minimizing communication overhead.
Cloud-Based Storage for Flexibility and Security
SwipePoint provides cloud storage (available with a Premium Storage Space subscription) to save attachments related to policies, such as documents outlining performance rewards or employee recognition programs. The platform supports uploads from cameras, photo albums, or files. This feature reduces the risk of lost documents and simplifies maintenance and updates of policy content while ensuring secure backups.
Adding Policy Categories
Management Mode > Notifications > Policies > Add Policy Category
Create categories to organize policies, such as Reward Policies, Leave Policies, Overtime Rules, etc. Within these categories, managers can create and manage specific policies.
Adding a Policy
Management Mode > Notifications > Policies > Category > Add Policy
Upload policy-related attachments using your preferred method: take a photo, upload from the photo album, or select a file.
File uploads must not exceed 25 MB.
To use this feature, the organization’s creator must subscribe to the Premium Storage Space plan to activate cloud storage for file uploads.
Tracking Acknowledgments
After publishing a policy, employees are required to read and click "Agree." Managers can track acknowledgment statuses in the system, identifying employees who have reviewed and agreed to the policy versus those who have not. This facilitates follow-ups and ensures thorough communication of important policies.
