Quick Scheduling

Management Mode > Schedule > Quick Scheduling

"Quick Scheduling" is ideal for organizations with fixed weekly work hours where employee schedules rarely need adjustments. Before starting, set up shifts (e.g., morning shift, evening shift, or other types). Once shift settings are complete, follow these steps:

  1. Select a Shift: Choose a pre-established shift to apply.
  2. Set the Period: Enter the start and end dates for quick scheduling.
  3. Choose Workdays: Specify fixed workdays each week (e.g., Monday to Friday).
  4. Determine Public Holidays and Make-Up Days: Decide whether work is required on public holidays or make-up days.
  5. Assign Personnel: Select employees to whom the schedule will apply to complete all settings.

Following these steps, the system will automatically create schedules for the specified period, significantly reducing manual workload and costs.

Fixed Scheduling

"Fixed Scheduling" refers to a scheduling model where employees work at the same time weekly or daily, with minimal need for changes or reassignments. For organizations with stable work shifts, a one-time setup ensures long-term adherence to a unified scheduling rule.


Selecting a Shift

In this step, choose a shift from the "Shift Templates" you have already set up, such as morning or evening shifts, or other shifts named according to your needs.

If no "Shift Templates" have been created, please add one in the following location:

Management Mode > Schedule > Shifts/Templates

Once the "Shift Templates" are set up, you can select and apply them directly here to proceed with scheduling.


Start Date

Choose the start date for "Quick Scheduling." The system defaults to "today." This date will serve as the effective start date for the schedule, ensuring unified management of scheduling records starting from this day.

End Date

Choose the end date for "Quick Scheduling."

Note: It is recommended to plan the schedule only for the current year. If scheduling spans into the next year, incomplete holiday and make-up day information may result in gaps. For cross-year scheduling, update holiday settings as needed.


Workdays

When setting workdays, you can select from "Sun, Mon, Tue, Wed, Thu, Fri, Sat," supporting multiple selections at once. This feature helps you quickly specify the workdays for employees during the week, enabling precise and customized scheduling.

Public Holidays

On public holidays, the system will review the scheduling settings for the employee and determine whether work is required. If "Work Required" is selected, the schedule will proceed as usual. If "No Work" is selected, the system will skip that day to protect employee rest rights.


Make-Up Days

For make-up days, the system will also follow the employee's settings to decide whether work is required. If "Work Required" is selected, the system will treat the day as a regular workday and include it in the schedule. If "No Work" is selected, no scheduling will be made for that day.


Assign Personnel

At this stage, select the employees to whom the schedule will apply from the user list. Multiple employees can be selected simultaneously. This design ensures all designated members are included in the quick scheduling process, saving time and reducing the risk of omissions.


Handling Existing Schedules

After completing the "Quick Scheduling" setup, the system will prompt you to choose between the following options for handling existing schedules:

  1. Overwrite Schedules for This Period

    • If "Overwrite Schedules for This Period" is selected, the system will delete any existing schedules for the specified days and replace them with the "Quick Scheduling" settings.
  2. Add to Existing Schedules

    • If "Add to Existing Schedules" is selected, existing employee schedules will remain intact, and the system will add the "Quick Scheduling" shifts only to available time slots.

With these options, you can decide whether to completely reset schedules for the specified period or supplement existing schedules with new shift settings as needed.
